Overview

Challenge

With a long standing credibility in their respective industry, Crest Pumps were looking to invest in streamlining their quoting process, order management and customer data to align this with the sales and marketing tools within HubSpot, further elevating an already outstanding reputation.

With the existing CRM in place unable to deliver Crest Pumps the features and data management features required, Red-Fern were tasked with strategising and implementing a complete data cleansing, migration and HubSpot x Unleashed integration.

Approach

Crest Pumps are a leading UK manufacturer specialising in chemical resistant pumps for all process industries.

To achieve the required outcomes without any business disruption, the Red-Fern HubSpot and development teams created a clear roadmap of project phases, roles and responsibilities.

These phases consisted of a full data audit and optimisation, HubSpot configuration, HubSpot x Unleashed integration and finally multiple data imports for testing and launch.

Let’s set the scene, Crest Pumps are a very successful business, however, every business can always find more innovative and automated ways of working, especially with the dawn of artificial intelligence.

With Crest Pumps being a forward thinking business and prepared to challenge their existing systems, HubSpot Enterprise Sales and Marketing was the natural choice to achieve this.

The first phase in moving a business forward with confidence when introducing new systems is to take the data by the horns and scrutinise this until all questions are answered.

This full data audit highlighted discrepancies that had naturally evolved in the existing CRM. By working closely with the Crest Pumps C-Suite team, we collaborated and advised how we could consolidate the data into an optimised hierarchy, making sure that the migration to HubSpot would align with the optimised data sets.

Running multiple test imports in HubSpot was crucial to developing a robust migration process, allowing the project teams to agree all the data was ready to be migrated on an agreed launch date.

HubSpot x Unleashed integration.

Whilst most systems have existing plugins and modules to sync data, they do not all serve the specific use-case.

Bespoke integrations are required for optimal data sync and business process.

With all the data optimisation and migration process approved, the Red-Fern development team could now develop the custom integration and automations between HubSpot and Unleashed.

HubSpot does have an off-the-shelf Unleashed integration module, however, it soon became apparent that this was no where near capable of handling the data sync, data flow and automation Crest Pumps business processes required.

The Red-Fern development and HubSpot teams aligned to configure HubSpot, developing a fully bespoke application that allows Crest Pumps to fully leverage the HubSpot Sales Hub.

The Crest Pumps sales team were fully onboarded to create and manage contacts, companies and deals in HubSpot, whilst in the background the bespoke Unleashed integration was pushing and pulling data, syncing the sales orders and customer data for each deal.

 

Launching a new system into a business requires laser focus to avoid disruption.

With any HubSpot implementation or bespoke development project the Red-Fern teams are well versed in creating successful outcomes.

This project was no different, the only way we allow a new system to launch is when each phase of the project is approved by all the project stakeholders.

With the phase #1 data audit and optimisation approved, phase #2 HubSpot configuration approved, Phase #3 HubSpot x Unleashed integration approved, the final migration could commence.

Taking one final export from the old CRM, the latest data was injected into HubSpot and the Crest Pumps team were up and running.
